Workplace wellbeing

Workplace wellbeing that reaches out first

Workplace wellbeing that does not wait for someone to book a session or download an app. Personalised text check-ins, triaged replies and leadership reporting. Live within 24 hours once your details are confirmed. Free 2-week pilot for up to 10 staff.

A workplace programme people will actually answer

Most workplace wellbeing plans are a document, a portal and a hope that people will self-start. The people who most need a check-in are often the ones least likely to open a new system: someone on a late shift, someone in a cab, someone covering a classroom, someone who does not want a conversation in front of customers. A text meets them where they already are.

WellbeingSolutions is that reach-out. You name the person. You choose the question. They reply Yes if they are OK, or No if they need support. The reply is acknowledged. A No is triaged. Leaders see anonymous trends, not the story behind one message. That is the whole loop, and it is short on purpose.

It is a wellbeing check-in and a path to professional support. It is not a clinical service.

No app, no login, no extra device

Staff reply on their own phone. There is nothing to install and no password to reset. Outgoing texts and replies are covered by the organisation’s SMS provider, so the message is free for the person answering, once that connection is in place. Browser tools, where you use them, need an internet connection. The check-in itself needs mobile coverage, and it waits if the phone is out of range.

That design is what makes one programme fit a warehouse, a hotel, a school and a small office. You are not asking a night shift to create an account at 11pm. You are asking for a Yes or No.

Personalised check-ins, then triage

Messages use the person’s name. The wording can match the work: a Monday question for an office, a post-service question for hospitality, a post-callout question for a field crew. Three ideas show the pattern. “After that shift, are you OK?” “If a customer incident shook you up, do you want a follow-up?” “Before the next on-call night, are you feeling OK?” Each one is still a Yes or No.

Triage is the step that turns a reply into help. Your professional support, EAP or another provider you choose receives the people who asked for follow-up. You agree who can see a reply and who only sees totals. If your workplace has no HR team and no EAP yet, support can be arranged and the cost is confirmed in the proposal before anything starts.

In New Zealand, a pilot can include AI-4U navigation if you tick it. AI-4U helps people find helplines and professional support. It is not counselling and it is not an emergency service. In Australia the pilot is SMS check-ins only. AI-4U navigation comes with the full service, not the two-week trial.

Leadership reporting without personal stories

A workplace leader usually wants two things that pull against each other: to know if the team is under pressure, and to avoid reading private messages. Anonymous reporting is how those sit together. You see whether people replied and how the week looked for a group. You do not get a list of who said No to discuss in a team meeting.

Use the trends to decide what to look at next. A heavy month might lead you to the psychosocial risk assessment, which gathers anonymous feedback on workload, support and working conditions. That assessment is informed by ISO 45003 guidance. It is not ISO certification and it is not a promise that a legal duty has been met. Read the psychosocial page before you treat it as anything else.

Live within 24 hours, then a proper decision

Setup is deliberately small for a pilot. Share the group, the wording and the start. Check-ins can be live within 24 hours once those details are confirmed. The pilot runs for two weeks with up to 10 staff. Kevin is in touch within one business day, then you decide together what happens next.

After the pilot, pricing is published. A Workplace or SME under 20 staff stays on the Small Team rate: $995 a year on a 3-year agreement. That Small Team subscription is full price. The year-1 offer on the psychosocial assessment is separate, and it is explained on the pricing page, including the end time of 11:59pm NZDT on Tuesday 15 December 2026.

Larger workplaces use the staff bands on the pricing page. You can also estimate the cost of poor mental health at work with the calculator, using published research, before you talk to anyone. No email is needed for that result.

Which workplaces it suits

It suits any workplace that can name a group of people and a professional support pathway. Retail floors, logistics depots and schools are three places we describe in detail, because the pressures differ and the text still works. A shop can ask after a late trade. A depot can ask before the next run. A school can ask after the last bell. The follow-up is the same idea: triage, then your support, then anonymous trends.

Start with one team. You do not have to roll a programme out to every site on day one. A single department is a fair test of whether people reply and whether your support team can handle the follow-up.

See retail, logistics and schools. Compare published prices, read the psychosocial assessment, or start the free pilot.

Questions about workplace wellbeing

Why is there no app?

An app asks people to download, log in and remember another tool. A text uses the phone they already have. That is why check-ins can reach shift teams, drivers and small offices with the same programme.

How fast can a workplace go live?

Check-ins can be live within 24 hours once your setup details are confirmed. The free pilot covers up to 10 staff for two weeks. Kevin will be in touch within one business day of a request.

What do leaders actually see?

Anonymous trends: how many people were reached and the shape of the replies. They do not see the personal message. A request for support is triaged to your professional support.

Can a small team use this without an HR department?

Yes. Workplaces and SMEs under 20 staff have a Small Team rate, from $995 a year on a 3-year agreement. If you do not have an EAP, approved professional support can be arranged, with any extra cost confirmed before you start.
